Acceptance of terms
By downloading, installing, or using Expense Pal ("the Service", "we", "us"), you agree to be bound by these Terms & Conditions. If you do not agree, do not use the Service.
These terms apply to all users of the Expense Pal mobile application and any associated web services at expensepal.net.
Expense Pal is operated by MGS 622 Holdings LLC.
The service
Expense Pal is a mobile application that extracts structured expense data from receipt photographs using artificial intelligence, and provides analytics and tracking features for personal and small-business use.
We reserve the right to modify, suspend, or discontinue any part of the Service at any time, with or without notice. We will make reasonable efforts to notify users of significant changes.
Accounts
- You must be at least 13 years old (16 in the EEA) to create an account.
- You are responsible for maintaining the confidentiality of your password and for all activity that occurs under your account.
- You must provide a valid email address and keep your account information accurate.
- You may not share your account with others or create accounts on behalf of third parties without their consent.
- Notify us immediately at [email protected] if you suspect unauthorised access to your account.
Acceptable use
You agree to use Expense Pal only for lawful purposes. You must not:
- Upload content that is illegal, fraudulent, or that you do not have the right to share.
- Attempt to reverse-engineer, decompile, or extract the source code of the Service.
- Use the Service to process receipts or data belonging to other people without their explicit consent.
- Automate access to the Service in a way that places unreasonable load on our infrastructure (e.g. scraping, bots).
- Circumvent any rate limits, paywalls, or security measures.
- Use the Service to store or process data that is subject to heightened regulatory requirements (e.g. HIPAA-regulated health information) unless we have explicitly agreed to such use in writing.
Violation of these rules may result in immediate account suspension or termination.
Subscriptions and billing
Expense Pal offers a Free tier and a Pro subscription. Pro unlocks unlimited scans, additional profiles, and premium export formats.
- Billing: Pro subscriptions are billed monthly or annually through Apple App Store or Google Play. All payments are processed by Apple or Google — we do not handle payment card details directly.
- Introductory offers: If an introductory free trial or promotional price is available for your storefront, it will be shown in the Apple App Store or Google Play purchase sheet before you confirm the purchase. If no introductory offer is shown at checkout, the subscription begins billing immediately.
- Renewal: Subscriptions auto-renew at the end of each billing period unless cancelled at least 24 hours before the renewal date.
- Cancellation: You can cancel at any time through your App Store or Google Play account settings. Cancellation takes effect at the end of the current billing period — you retain Pro access until then.
- Refunds: Refunds are handled by Apple or Google under their respective refund policies. We do not issue refunds directly except where required by applicable law.
- Free tier limits: The Free tier is limited to 30 receipt scans per calendar month and 1 expense profile. Limits may be adjusted at our discretion with reasonable notice.
- Lifetime access: If offered, a lifetime purchase is a one-time payment and does not auto-renew.
- Checkout controls: The exact price, currency, billing period, and any introductory offer displayed in the Apple App Store or Google Play purchase sheet at checkout control your purchase.
- Price changes: We may change subscription pricing with at least 30 days' notice where required. Continued use after a price change constitutes acceptance, subject to applicable store rules and local law.
Your content
You retain full ownership of the receipt images and data you upload to Expense Pal ("Your Content").
By uploading content, you grant us a limited, non-exclusive licence to store, process, and display Your Content solely for the purpose of providing the Service to you. We do not claim ownership of your receipts or extracted data.
You are responsible for ensuring you have the right to upload any content you submit. Do not upload images containing sensitive personal information about third parties without appropriate authorisation.
You can delete your content at any time within the app. Upon account deletion, all of your content is permanently removed from our servers within 30 days.
AI processing
Expense Pal uses third-party AI services (Google Gemini, Anthropic Claude) to extract data from your receipt images. Before any receipt image or PDF is sent for AI extraction, the app asks for your permission. By enabling AI processing and using the Service you acknowledge that:
- Receipt images and the receipt details visible in them are transmitted to these AI providers for processing as described in our Privacy Policy.
- Google Gemini is used as the primary AI processor, and Anthropic Claude is used only as a fallback when needed.
- If AI processing is disabled in the app, receipt scans, PDF imports, and forwarded receipts are not sent to these AI providers for extraction until you enable AI processing again.
- AI extraction is not guaranteed to be 100% accurate. You are responsible for reviewing and correcting extracted data before relying on it for financial, tax, or accounting purposes.
- Expense Pal is an expense tracking tool, not a licensed accounting or tax advisory service. Do not use the Service as a substitute for professional financial or tax advice.
Intellectual property
All elements of Expense Pal — including the application, design, branding, code, and content we create — are owned by or licensed to us and are protected by applicable intellectual property laws.
You may not copy, reproduce, distribute, or create derivative works from any part of the Service without our express written permission.
Disclaimers
The Service is provided "as is" and "as available" without warranties of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement.
- We do not warrant that the Service will be uninterrupted, error-free, or completely secure.
- AI-extracted receipt data may contain inaccuracies. We are not liable for decisions made based on extracted data.
- We are not responsible for the content, accuracy, or availability of third-party services we integrate with.
Limitation of liability
To the fullest extent permitted by applicable law, Expense Pal and its operators shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of data, revenue, or profits, arising out of or in connection with your use of the Service.
Our total aggregate liability to you for any claim arising from these terms or your use of the Service shall not exceed the amount you paid us in the 12 months preceding the claim, or €100 / $100, whichever is greater.
Note for EEA users: Nothing in these terms limits or excludes liability that cannot be excluded under applicable consumer protection law in your country of residence.
Termination
You may stop using the Service and delete your account at any time from the app's Account Management screen, through our public account deletion page, or by emailing [email protected].
We reserve the right to suspend or terminate your account without notice if you violate these terms, engage in fraudulent activity, or if we are required to do so by law. Upon termination, your right to use the Service ceases immediately and your content will be deleted per our data retention policy.
Governing law
These terms are governed by and construed in accordance with applicable law. Any disputes arising under these terms will be subject to the exclusive jurisdiction of the competent courts.
If you are located in the European Union, you may also have the right to submit a complaint to your local consumer protection authority or use the EU Online Dispute Resolution platform at ec.europa.eu/consumers/odr.
Changes to these terms
We may update these Terms & Conditions from time to time. When we make material changes, we will notify registered users by email and update the "Last updated" date at the top of this page. Continued use of the Service after changes are posted constitutes your acceptance of the revised terms.
